How to create a QR code that scans reliably

A useful QR code is more than a square image. The destination, data format, contrast, print size, placement, and final testing all affect whether people can scan it.

Start with the right type of QR code

Choose a format that matches what should happen after a scan. A normal web link is usually the safest choice for online content. Structured formats such as vCard, email, SMS, phone, and Wi-Fi can save typing, but the exact action is controlled by the scanner and apps installed on the device.

Static and dynamic QR codes are different

A static QR code stores the final text or destination directly in the pattern. It does not expire on its own, needs no account, and can work without this generator after download. However, its data cannot be changed. If a printed static code contains an old URL or incorrect number, the image must be replaced.

A dynamic QR code usually points to a managed redirect. The redirect destination can be updated and scans may be measured, but continued operation depends on the provider and plan. QRizeo creates static codes and does not insert a tracking redirect between the scanner and the destination.

Prepare the destination before generating

  • Open every URL in a private browser window to confirm that it is public and does not require your account.
  • Use HTTPS and a page that works well on a phone; most QR scans begin on a mobile device.
  • For PDFs, upload the file first and use its public URL. A local file path from your computer will not work for other people.
  • Keep text concise. More encoded data creates a denser pattern that needs more space to scan.
  • Double-check email addresses, international phone prefixes, Wi-Fi names, passwords, and capitalization.

Use strong contrast and preserve the quiet zone

Dark modules on a light background are the most dependable combination. Avoid very pale foreground colors, transparent backgrounds, or colors with similar brightness. A QR code also needs a clear, empty margin around all four sides. This margin—often called the quiet zone—helps a scanner separate the code from nearby text, borders, photographs, and packaging artwork.

Do not crop the margin or place the image tightly inside a decorative frame. If the code appears on a busy background, add a solid light panel behind the entire image, including its clear margin.

Choose PNG or SVG for the final use

PNG is a pixel image and is convenient for websites, presentations, office documents, and social posts. Download it at a size larger than the final display size so normal resizing does not blur its edges. Avoid repeatedly taking screenshots or compressing the file through messaging apps.

SVG is a vector format. It stays sharp when enlarged and is normally the better choice for signs, packaging, labels, large posters, and professional design software. Ask the printer whether their workflow accepts SVG and export to another print format only after preserving the code's proportions and clear margin.

Print size depends on scanning distance

There is no single correct physical size. A code scanned from a tabletop menu can be smaller than one displayed on a wall. As a practical starting point, keep the code at least about 2–3 cm wide for close handheld scanning, then increase it as viewing distance, data density, surface texture, or lighting difficulty increases. This is a starting point, not a guarantee—test the real material at the real distance.

Printing on curved bottles, reflective material, folds, seams, or highly textured surfaces makes scanning harder. Place the code on the flattest available area and avoid locations that can be damaged, obscured, or bent during normal handling.

A reliable testing checklist

  1. Scan the downloaded file before placing it in a design.
  2. Confirm that the opened URL, text, contact, message, phone number, or Wi-Fi network is exactly correct.
  3. Test the completed design on screen and again after printing at its final size.
  4. Use at least two different phones or scanner apps when the code will be widely distributed.
  5. Try normal and slightly difficult conditions: an angle, average indoor light, and the intended distance.
  6. Check the destination periodically. A static QR code may remain readable even when its linked page has moved or expired.

Privacy and safety

Anyone who can see a QR code may be able to read its contents. Do not publish private Wi-Fi passwords, confidential notes, personal contact data, or restricted links where unintended visitors can scan them. Treat an unfamiliar QR code like an unfamiliar link: preview the destination when possible and avoid entering credentials after an unexpected redirect.

Common reasons a QR code fails

  • The destination was typed incorrectly or is not publicly accessible.
  • The printed code is too small for its data density or scanning distance.
  • Foreground and background colors do not have enough contrast.
  • The clear margin was cropped, covered, or merged into surrounding artwork.
  • The image was stretched, blurred, compressed, damaged, or printed on a reflective surface.
  • A logo or decoration covers too much of the pattern.
  • The linked page was removed even though the static code itself is still readable.
